Business Manager

About the Job

Volta is looking to recruit a bright, detail-oriented, and entrepreneurial business manager, whose role it will be to manage the day-to-day operations and workings of our firm. The position will be based in London UK and the business manager will
work directly for and report to the managing partner and Volta’s management team.

Responsibilities will include:

Human Resources and Operations management.

  • Manage the multiple aspects of the firm’s people management function, including
    • Recruiting: drafting JDs for new positions, running recruiting interview process; guide management team in
      hiring decisions; represent the firm at recruiting events
    • Onboarding/offboarding process, including getting new hires set up
    • Performance management / reviews: ensure the firm’s training and review process is set up and run well
  • In addition, provide support for team-centered specific activities, such as the annual team retreat, social events, etc.
    Systems, processes and reporting
  • Assist and support managing partner and senior management team with building out and managing the firm’s core
    operational systems and processes, including:
    • Ensuring compliance with file management
    • Liaise with IT service provider(s) on any supported needed by the team
    • Insurance contracts;
    • Branding (website; content for website; stationery and templates; etc)
  • Support the managing partner and senior management team with Board level interactions and board meeting
    preparations.

Financial Administration Support

  • Provide support to the Finance & Compliance Officer, which includes:
    • Record accounts payable, support filing and employees’ expense reimbursement, and reconcile accounting documentation;
    • Ensuring that all records under the responsibility of the Compliance Function are kept and maintained in
      accordance with regulatory, legal and business requirements.
    • Preparing client onboarding and regulatory compliance reports as required.

Office Management

  • Develop and maintain a professional working environment in the London office, including
    • Managing facilities (suppliers: BT, Vodafone, Xerox; business rates, cleaners, etc) and office supplies
    • Managing London office social budget;
    • Liaising with Nairobi office assistant to ensure Nairobi office is properly managed;
    • Occasionally assist with mailing fedex / DHL packages
      In addition, the business manager may need to support firm-wide strategy and special initiatives, events, and other projects
      as they arise.

Qualifications

  • Prior 5-7 years work experience in similar operations role
  • Knowledge of and experience with organizational systems and software a plus
  • Superior organizational and time management skills; ability to work under pressure and adhere to tight deadlines
  • Strong attention to detail and commitment to high-quality work
  • Keen desire to learn and grow operational and HR skill-set and problem-solving abilities
  • Professionalism and experience working effectively with staff and senior management, with a proactive, responsive
    and collaborative work style
  • Demonstrated ability to work as part of a team and perform well in a growing and entrepreneurial firm
  • Ability and desire to work collaboratively across multiple cultures and operating environments
  • Willingness to step up and take part in regional and global level firm-building efforts
  • Expert use of Microsoft products (email and calendaring functions; excel, word and powerpoint) required
  • Excellent verbal and written communication skills; friendly and professional demeanor
  • Based in London and in possession of necessary work authorization
  • Work, travel, study, or volunteer experience in diverse settings in the global south a plus
